Course Web Site Design with SharePoint Designer and OIS Manager

Description: Participants will learn the process of how to set up a new OIS class web site for the Spring 2009 semester using Manager and SharePoint Designer. Class web sites will be automatically available to students from their "My Courses" tab in the portal. If you do not have web sites for your classes yet, this workshop is a prerequisite for the other OIS sessions listed ....

A. Create an OIS class with a secure course Website 1. Download OIS software

Online Instructor Suite: OIS provides you with the software you need to manage a course Website.

OIS - Online Instructor SuiteOIS - Online Instructor Suite. An integrated collection of online course management tools: a gradebook, test facility, calendar, drop box, and discussion forum. Instructors control access to the tools through the Manager.

  3. Create a class from Template
Use OIS Manager to Create a Class

Course Website using Manager's Template: follow the Wizard to put course information on the Web pages that OIS builds for you.

  1. First, Click on "Add Class" in Manager, and choose "from template".  Then click "Next".

  2. Fill in your information in the form.  You don't have to include all of it, but at a minimum you should enter your name and email address. Then click "Next".

  3. Course code -- e.g. BI381; Course title -- e.g. Molecular Genetics.  Enter the section number (2 digits) and choose the appropriate term and year.  You can write a welcome message, but you can add this later.  Click "Next".

  4. Choose the pages you want to create.  It'll be easy to edit their content later.  Click "Next". 

  5. At this stage you could write a course description, etc., but just leave it blank for now; we'll work on this later.  Click "Next" for each of the pages. 

  6. Select a style template and click "Next."

  7. The wizard will prompt you with a name for the folder on the server for the course -- it should be the course code.  Click "Next".

  8. Click "Finish" to create your web site.   You should get a big green circle with a check mark -- then click "Close". 

  9. Manager will ask if you want to create an instructor account in the course -- say yes.  Then choose a password that you want to use as instructor.  Alternatively, you can put your SEKey as your user name, and type "9999" as the password; then you'll log in with your SEKey and your normal SEKey password. 

To view your new web site, use the web browser to go to this URL: http://cstl-xxx.semo.edu/sekey/folder   -- that is:

http://cstl- (three-letter college abbrev.) / Your SEKEY / Course code

B. Understand how to manage a course with Manager 4. Explore class properties (right click or menu) Locations for #4, 6, 7, 8, 9, 10, 11, 12, 14
For newcomers, the course information will be most important: which course and section(s), and whether the roster is synchronized.
  5. Look at synchronization OIS Class Properties Sample Page
"Synchronized" means that the roster is updated by the mainframe. As students add or drop the course, their status in the OIS class changes accordingly. Classes in the online server (http://online.semo.edu/YearSemester/ClassCode) and the courses server (http://courses.semo.edu/YearSemester/ClassCode) ALWAYS synchronize, and thus will have the checkbox grayed out, but courses in the "cstl-AAA server" will allow the user to select synchronization.
  6. Add student(s)  (import and export students) It's best to synchronize your roster, so the students will be put in automatically.  However, it's often handy to have a "dummy" student account so that you can log in as a student to see what the students are seeing.  Exporting students is handy when you want to make a sign-in sheet, for instance.   
  7. Choose columns Synchronized rosters include numerous fields, not all of which may be of interest to you. You can clean up the display by choosing columns.
  8. Quick launch buttons A convenient way to work in the other OIS modules.
  9. Tools: E-mail from manager (Options) You can e-mail anyone in your roster directly from Manager.  If you highlight multiple students, you can send an email to all of them at once. You can even compose an e-mail that merges names, so that each student gets an individualized e-mail.  %Lastname% inserts the student's last name; %Firstname% inserts the student's first name. 
  10. Print attendance record Basically the same as the export students option.
  11. Lock class By locking the class, you prevent anyone on the roster from logging in.
  12. Options (shared computer) If you share a computer, you can tell OIS to request your password each time you log in to Manager. A security feature.

These features will be more useful after you have used OIS for a while.
  14. Request class evaluations By selecting this option, you activate a system for sending an invitation to students to participate in an online IDEA evaluation of your course.

C. Use Microsoft SharePoint Designer to add content to the course Website. 16. Open SharePoint Designer; get oriented
How can we add course content (including the OIS links) to our Website?

Microsoft SharePoint Designer will help you add content to pages in your site: SharePoint Designer (SPD) is a Web-page authoring tool that may be installed on computers available in faculty offices. It's more than a word processor! SPD helps you organize your entire class Website, so that students will be able to readily access your course materials from anywhere the Internet reaches. CSTL provides a "How To" site to help you with some SharePoint Designer features. The CSTL site is not yet very large, but look for it to grow.

  • Starting SPD: 1st time, every time SharePoint Designer Icon
    • Find SPD on your computer and start it.
  • The SPD view
    • Explore the view, ending up with Folder List and Web Site as your “standard” working view. Clicking on a file in the Web Site opens the file for editing in the work area.
  • What is a Site?
    • Log on to your personal CSTL Web.
    • Explore the basics of Web folder structure.
    • Look for an "index.htm" page.
 
17. Add content to an existing page
  • Text (raw, and from Word document)
  • Images (clipart, file, properties)

Think About it First

Add and format text  Text is still the workhorse of higher education. SPD offers a wide array of formatting, some of which we will investigate here.

Images   If you believe that a picture is worth 1000 words, here is your chance to speak volumes! SPD makes it easy to import images to your Web and to add those images to your Web pages.

  18. Add a new page (create, link) Hyperlinks

Use hyperlinks to allow your students to browse to other Web pages, send e-mail, or download other content files.
